Securing Your Time Clock Software with Passwords


Admin Password ScreenPasswords are an integral to protecting the integrity of your employee time cards. We want you and your employees to feel safe and secure as you keep track of their employee records and time. To give you and your employee’s security TimeClick contains different passwords for different levels of security. This article will cover the use of the Administrator Password, the Employee Password, the Level 2 Administrator Password, and the Department Supervisor Password.

The Administrator Password:

As the Administrator, system is the default password upon installation of TimeClick. The Administrator, with this password, will have access to all employee records, employee times, and time clock settings. We recommend that you change the default password to something else once you install TimeClick. You can change your default password by following these steps

  1. Enter Administration Mode using the authorized password system
  2. Select Preferences
  3. Select Passwords and & Misc. Controls
  4. Replace your new password in the Administrative Password box

Forgotten Password?

If you forgot your new password call our support team at 435-753-4102 to have it reset.

The Employee Password:

When you add a new employee to TimeClick you will be required to give them a new Password. This password can be any length between 1 and 8 characters. You can choose to make it as simple as 123 or a more complicated password with a variation of letters, numbers and symbols.

An employee can change their own password following these steps:

  1. Select Staff Options
  2. Double click the employee name
  3. Enter the current password
  4. Selecting Change Password
  5. Enter the new password

The administrator can change an employee’s password by following these steps:

  1. Enter Administration Mode
  2. Select Employees
  3. Select Edit Employee Record
  4. Double Click the Employee Name
  5. Enter a new password into the Employee’s Password box

The Level 2 Administrator Password:

TimeClick offers different levels of administration based on your companies needs and therefore offers you the ability to give one of your employees the Level 2 Administrator password. You can check or change the default administrator password the same way that you can check your Administrator password. To do this follow these steps:

  1. Enter Administration Mode using the authorized password
  2. Select Preferences
  3. Select Passwords and & Misc. Controls
  4. Replace your new password in the Level 2 Password

The Level 2 administrator can then use this password to enter Restricted Administration mode by following these steps:

  1. Select Administration
  2. Select Restricted Administration (Level 2)
  3. Enter the Authorized Password

The Department Supervisor Password:

The Department Supervisor is similar to the Level 2 Administrator but only has access to the employees that are assigned to his or her department. You can learn more about the Department Supervisor by going to http://www.timeclick.com/blog/understanding-different-levels-of-administration/

You can set up your Department Supervisor by following these steps:

  1. Enter Administration Mode
  2. Select Department
  3. Select Add New Department
  4. Select Creating a Department Name
  5. Select an employee to assign as the supervisor and add a description to the department

You can add an employee to a department by following these steps:

  1. Enter Administration Mode
  2. Select Employees
  3. Select Edit Employee Record
  4. Double click on the employee name
  5. Click on the box with “…” next to the Department No.
  6. Select which department you would like your employee to be added to

Your Department Supervisor can log in as a Department Supervisor by following these steps:

  1. Click on Administration
  2. Select Department Supervisor
  3. Double click on the department
  4. Log in using the Department Supervisor’s Employee Password
