Web based time tracking software is all the rage these days. If you aren’t flying in the “Cloud” you are a technological outcast.  Rumor has it any non-web based program will be obsolete in a matter of months. The hysteria goes on and on but is it true? More importantly who is creating the mad rush to get everybody’s data online? The truth is Web/Cloud based companies are the push behind the online software craze. There are pros and cons to both web based and on premise software, but which is the best solution for your business?

 

Follow the money

The first thing we learn in business is to follow the money. Companies are motivated by the bottom line as they should be! As a small business owner you should be motivated by the same thing.  It shouldn’t be the only thing, but it’s definitely a major factor. Let’s do a quick price comparison.  We took the top 10 companies from an online search for web based software and compared them to TimeClick’s server/client application. Here are the results:

The difference is staggering! You feel like you are getting a better deal by paying a small monthly fee, but after only one year of use you can end up paying on average 231% more for an online solution. After two years the difference widens even further and you can end up paying up over $650 more than you have to. The cynics in us said that is just an average. There has to be a cheaper software option out there. We scoured the web and found the cheapest web based time tracking out there and even at $1 per month per employee after 2 years you end up paying up to 20% more than you would have if you had just paid a onetime fee. One dollar a month feels way cheaper than a $99 onetime fee, but it doesn’t take very many months and you have surpassed the $99.

Software companies can do the same math and realized they would rather have monthly recurring revenue because they can make up to 200% more in the first year of a customer subscribing to their service! That’s not including what you will pay them each subsequent year. Most major companies are moving to a subscription based model for the same reason, dollar signs. When you follow the money it is easy to see why there is such a big push amongst software companies to get you into their cloud.

 

 

Disadvantages of Online Cloud Based Services

  • Recurring costs
  •  Availability can be subject to online provider’s network administrators.
  • Performance is highly linked to Internet connection. Poor internet connection will greatly affect the performance of program.
  • Decreased accuracy can be an issue for employees clocking in/out from remote locations.

Web based solutions do have certain advantages and in some situations are the preferable solution.Let’s review a few of their advantages.

  • Updates to your system are not required since the changes occur in the online environment.
  • Mobile or remote login is usually simplified by logging on through the internet.
  • Data storage occurs online so no server space is needed.
  • Smaller initial upfront costs.

 

 

Deciding Between an Online or an On Premise Software Solution

Like most decisions in business, cost will be the deciding factor when choosing between a web based or on premise software solution. When paying a monthly fee for a cloud solution you are paying for someone else to store your data. The functionality of the applications will be very comparable the only difference is where the data is housed. Most small businesses have plenty of storage space to add a few megabytes or even gigabytes of employee time data. Paying someone else to store your data is the equivalent of renting a storage unit when you have an empty garage at your house.
